Mortgage document checklist

A well-organized document package can make a mortgage application easier to review. The right checklist depends on your income, property and financing purpose. Use this guide to prepare for a conversation, then ask your broker which records the chosen lender actually needs.

Identification and contact information

Be ready to confirm your legal name, contact details and identification through the process your broker or lender specifies. Names and addresses should be consistent across the application and supporting records. Tell your broker about a recent move or name change so differences can be explained rather than mistaken for missing information.

Do not send identification or account numbers through an unconfirmed channel. Ask why a document is needed, who will receive it and how to provide it appropriately. This page is a checklist, not a document upload service; our public enquiry forms are not intended for sensitive records.

Income and employment records

Employees may be asked for an employment letter, recent pay records and tax documents. If overtime, commissions, contract income or bonuses are part of your earnings, the lender may need a history as well as a current amount. A new job or leave arrangement may require additional explanation.

Self-employed borrowers may need personal and business tax records, notices of assessment and other financial information. Rental, pension or support income may call for separate evidence. Do not assume that one document proves every type of income. Your broker can help identify the requested records without changing the facts they contain.

Down payment, debts and existing property

Keep statements showing the source and movement of down-payment funds. Gifts, sale proceeds and transfers between accounts need an understandable paper trail. Explain large deposits early. Do not obscure or alter required information; ask your broker what can appropriately be redacted before sharing a record.

For an existing mortgage, gather the latest statement and details of any secured credit line. Property tax information, debt statements and a payout estimate may also be relevant to a refinance. A lender’s estimate of a penalty can change before closing, so confirm the final amount when required.

Purchase and closing information

For a purchase, the signed agreement and amendments help the lender understand the property, price and closing date. A listing, condominium information or appraisal may be requested. The lawyer will have a separate closing checklist, including identification and the funds needed to complete the transaction.

Keep copies of what you submit and a list of outstanding conditions. If a lender asks for an updated statement or employment record, it may be confirming that the facts still match the application. Tell your broker promptly if employment, debts, savings or the purchase agreement changes before funding.

How our brokers can help

Our brokers can review your mortgage questions, explain lender requirements and compare the options that fit your plans. Where legal, tax or investment advice is needed, we will help you identify the questions to bring to the appropriate professional before you commit.

Common questions

Do I need every document before speaking with you?

No. Start with your plans and available information. Your broker can explain the likely checklist and identify which records are needed for the next step.

Can I email sensitive documents to any address on the site?

Confirm the recipient and delivery method first. Do not put identification, account numbers or full tax records into a general public enquiry form.

Why might the lender request documents again?

Information may need updating or clarification before funding. Ask what period or detail is required instead of assuming an earlier record still satisfies the condition.
